What to Send a Website Development Company in Varanasi

Turn an unclear website request into a useful brief, with six decisions to make and a filled small-business example you can adapt.

By SiteSutra ·

Before you ask a website development company in Varanasi for a quote, write down what the website needs to help a customer do. A short, specific brief gives you a more useful conversation than a request for a modern design and a list of pages.

You do not need to choose the technology or know every feature in advance. You do need to explain your business, your customers, your current website and who will approve the work. This guide shows what to send, with a filled example you can adapt.

Start with one customer task

“We need a website” describes a purchase. “A homeowner should be able to check our repair services and request a suitable visit” describes a job the website must support. The second statement helps decide the page structure, content and contact route.

Write one primary action: request a quote, book a consultation, call the business or send a project brief. Other actions can still exist, but name the one that matters most. Then explain what the customer needs to know before taking it.

Six decisions to include in your website brief

A starting brief for a small-business website
DecisionWhat to sendWhy it changes the scope
Audience and offerYour actual services, customers and service area. The content should answer the right visitor’s questions.
Main actionThe preferred call, enquiry or booking route and its recipient.A link, a submission form and a calendar integration are different tasks.
Content and proofApproved copy, genuine photographs, permitted work examples and their owner.Missing material needs an owner and a delivery plan.
Existing websiteThe domain, important URLs, current features and account owners.A redesign may include migration and preservation work.
Editing and supportWho changes content, what they change and how often. The maintenance task should inform the platform choice.
Commercial decisionsBudget if known, intended deadline, approver and dependencies. The proposal needs an achievable scope and clear approval points.

A hypothetical Varanasi service-business brief

Consider a fictional home-repair business serving a defined part of Varanasi. It wants potential customers to understand the work it accepts before calling. This is a planning example, not a SiteSutra client project.

This brief gives a developer something to estimate without suggesting that every service business needs the same four-page site. A practice explaining consultations may need a different structure from a retailer explaining products.

Give the website design company usable content

If you are comparing a website design company in Varanasi, ask how it handles content responsibilities as well as layouts. A design can look complete while the service descriptions, contact details or image permissions are still unresolved.

For each proposed page, send its purpose, the questions it should answer, available material and the person responsible for anything missing. References can explain a visual preference, but they cannot replace your own offer or provide permission to copy another business’s work.

Use genuine proof where you have it. If you do not yet have publishable testimonials or case studies, explain your process and show work that can be honestly identified. Do not fill a template with invented customer quotes.

Choose the contact route deliberately

A phone link opens a dialler. An email-draft link still requires the visitor to send the email. A submission form needs a receiving service and a tested destination. A booking integration needs an event, availability and the right calendar connection. Write down which journey you are buying.

In the brief, name who controls the provider account and who will confirm that a test message or booking arrived. The developer should not need passwords pasted into a document; use the provider’s supported access arrangements.

For a form, include manual checks in the scope. web.dev’s form-testing guidance covers desktop, keyboard and phone testing, and explains that automated tools cannot find every issue. Ask for the agreed test conditions and observed outcomes.

For a redesign, send the old URLs too

Do not limit the brief to screenshots of the new look. List existing service pages, useful articles, downloads, campaign destinations and integrations. Identify material that should stay and decisions that need review.

When URLs change, Google’s site-migration guidance recommends mapping old addresses to their corresponding destinations and using permanent server-side redirects where possible. That makes URL decisions part of the project scope rather than an afterthought at launch.

Use our redesign inventory and redirect-map example to organise this information. A developer can then distinguish a visual refresh from a wider content or migration project.

Compare proposals against the same brief

Send the same starting information to each provider. Then compare the pages, content work, integrations, review rounds, migration, testing, handover and exclusions. Two different fees are difficult to judge when the deliverables differ.

Ask which costs are one-off and which recur. Hosting, domains, licences, booking subscriptions, maintenance and advertising spend may sit outside the development fee. Request a written explanation rather than assuming an item is included.

If your budget or deadline is uncertain, say so. Agree the minimum useful release and identify later work separately. Our website cost guide helps organise that conversation without inventing a standard project price.

Download a filled example and write your version

Download the filled small-business website brief (Markdown). It contains the hypothetical repair-business example, a blank brief and a before-you-send checklist. Replace the example details with verified facts about your own business.

The download is an editable planning document. It does not submit an enquiry, generate a price or approve a project. Keep passwords, customer records and private account information out of it.

Turn the brief into an agreed website scope

A good brief makes the next decision clearer: what the website should explain, what the customer should do and what work belongs in the proposal. You can refine unanswered questions during discovery.
